Enable delivers centralised system to meet multi-site reporting challenges

The Regard Partnership is a major UK provider of residential care and supported living services to people with learning disabilities, mental health needs or acquired brain injuries. They also operate services for children with learning disabilities and emotional and behavioural issues which include specialist education provision. Their services are provided at 120 sites across six regions throughout England and Wales.

What was the issue?

The Regard Partnership's Audit and Operational Service reporting processes were complex, manually intensive and subject to tight timeframes. This was proving a risky mix for its key stakeholders.

Quality Audit visits are carried out every four weeks at over 100 disparate sites with a different audit form being completed at each visit. Health & Safety audits are carried out twice yearly (as a minimum) by a team of H&S representatives across the group's range of sites.

The Group Director of Operations has a requirement for a four-weekly Operational Service Review which covers a multitude of key areas, including Income and expenditure, Staff levels, sickness, appraisals and training amongst others.

All the above information was being collated and stored in a combination of template Word documents and Excel spreadsheets. The risk of data entry error and loss of data were huge. The time inefficiencies of managing this whole process manually were greater still. Extracting tangible management reports was proving an arduous task.

What was Enable's solution?

Following a series of workshops with key Regard stakeholders Enable were able to understand the company's processes and key business drivers for a new Internal Reporting System. Enable configured their standard technology to Regard's specific needs, providing a centralised system to facilitate the capture and reporting of key audit and operational information across the group's disparate sites.

The new system is web-based and allows staff to enter new information or review previously reported information in a consistent format within a robust platform across the following key areas:

  • Quality Audits
  • Health & Safety Audits
  • Operational Service Reviews
  • Incidents & Accidents
  • SOVA / POCA reporting
  • Complaints
  • Referrals

Access is controlled by an appropriate set of user roles and permissions allowing senior management to have full visibility of data across all services at the click of a button.

The Internal Reporting system now enables The Regard Partnership management structure to track and report on key operational data across all their sites. Consolidated reporting allows them to monitor the progress of action items and view summary reports providing valuable insight at the touch of a button.
