Generating a workflow report

The workflow report allows you to inspect all trading programs across all trading partners, providing you with full oversight of the status of your programs. This allows you to prevent financial risk of programs generating earnings before the program has been fully signed.

If you are using automatic workflow, use the workflow report to actively improve your approval processes by always knowing who needs to sign an agreement off.

How to use the workflow report

You can access the Workflow report tab directly from the activity landing page within the trading programs app, or via the Trading programs menu in the green banner.

Using the workflow report filters

The Search box allows you to filter based on trading program reference or the user who last updated the program. Alternatively, click Search by partners to type and select one or more partners to display in the list.

Use the Column set to customize your list, in addition to More filters to only view trading programs that meet a set criteria to gain focused insights.

The options available in More filters are:

  • Currency: Select a currency to filter by trading programs using only the specified currency.
  • Term start: Select a start and end date to filter by trading programs whose start date is within this date range.
  • Term end: Select a start and end date to filter by trading programs whose end date is within this date range.
  • Follow on: Select Not follow on to only display trading programs where a program exists for the next period or where this is not yet due to be created, or Follow on to only display trading programs approaching their end date where a program needs to be created for the next period.
  • Renewal status: Select the state of renewal for trading programs, e.g. to be discontinued, renewed, overdue, or due for renewal.
  • View by users: Select to filter by trading programs involving specific users in the workflow.
  • Activation status: Select the state of activation the trading programs are in, e.g. proposal, interim, active or archived.
  • Workflow status: Select state(s) of sign off the trading programs are in, e.g. draft, for signing, fully signed, proposal, or trading partner signed.
  • Subscribed: Select to filter by trading programs you are subscribed to or not subscribed to.
  • Last updated: Select a start and end date to filter by the last updated workflow date where the last updated date falls within the date range provided.
  • Unread comments: Display programs with unread comments to follow up with your trading partners and empower your Collaborator usage.
  • Latest transactions: Select a start and end date to filter by trading programs whose last qualifying transaction date is within this date range.

Viewing the workflow report results

By default, the workflow report displays the following information:

  • ID: The trading program ID.
  • Reference: The reference corresponding to the particular trading program.
  • Term: The start and end dates of the particular trading program.
  • Partner: The trading partner who the particular trading program is with.
  • Workflow status: The status of sign off for trading program, this could be proposal, active or interim.
  • Activation status: The state of activation the trading programs are in, e.g. proposal, interim, active or archived.
  • Type version: The name and version of the trading program type used for the program.
  • Waiting on: If the program uses automatic approval workflow, this is the role that the trading program is currently waiting on e.g. Category Manager. If the program uses manual approval workflow, this is the text entered against the trading program.
  • Currently with: If the program uses automatic approval workflow, this is the specific user or users that the trading program is currently waiting on. If the program uses manual approval workflow, this is the text entered against the trading program.
  • Lead: The user who started workflow if using automatic approval workflow, or the text that was entered in manual approval workflow.
  • Mapped users: The name of the users mapped to the trading program workflow.
  • Last updated: The date and time that the workflow status last changed.
  • Last updated by: The name of the user who last updated the workflow.
  • Last transaction: The last transaction date of a transaction line that contributes to the trading program.
  • Follow on: Displays Yes if a trading program needs to be created for the next period, or No if either a follow-on program exists, or it is not yet due to be created.

Additional features via the workflow report

At the bottom of the workflow report, you can easily create new programs, view programs, download the report, and more.

Create program

Click the Create program button to create a new trading program using the wizard, or click the in this button and Manually create a trading program if you are more familiar with program setup.

View program

Select a trading program from the list and click the View program button to view the trading program PDF, program lines, and other settings.

Download

Click the Download button to save a CSV file containing high level details of all trading programs in the unfiltered list.

Tip: Use this to analyze the full data set outside of Enable, and track and monitor the approval of all of your agreements.

More options

When one of more trading program is selected, click on the at the bottom of the screen (next to the Download button) to view the following options:

  • Archive: Available for active trading programs only. Use to archive old trading programs, while retaining details of the programs to view or restore in future. Learn more about archiving trading programs here.
  • Restore: Available for archived trading programs only. Use to restore inactive trading programs.
  • Change workflow status: Available for trading programs using manual workflow only. Use to change the workflow status, e.g. from Draft to Fully signed.
  • Replicate: Available for active trading programs only. You will be given the option to replicate for the current period or next period, and whether to replicate as a proposal or fully active program. If there is an automatic workflow set up, it will only be possible to replicate as a proposal.
  • Copy: Available for proposal trading programs only. You will be given the option to replicate for the current partner (i.e. the partner the original program is with), or other partners.
  • Activate: Available for proposal trading programs using manual workflow only. Use to convert a trading program into an active program.
  • Delete: Available to channel admin users only. Use to permanently delete a trading program. We recommend archiving rather than deleting programs, so that details can still be viewed or restored in future. Deleting a trading program will remove all terms items and any program lines or program line series within the trading program.
  • Send message: Use to communicate via the Messages app with your trading partner, relating to the selected trading program.
  • Subscribe: Use to filter by subscribed trading programs in the Activity page using the star icon.
  • Unsubscribe: Use if you do not wish to be able to filter by the subscribed trading program in the Activity page using the star icon.

Example workflow report scenario

In this scenario, it is early in 2024, and we want to identify any unsigned agreements which are actively earning. This scenario is risky because there is a chance what is agreed upon may yet change, which may affect financial budgets elsewhere in the business.

To do this, we have used More filters to display trading programs which meet this criteria:

  • Term start: From 01/01/2024
  • Activation status: Active
  • Workflow status: For signing

Inspecting the data, we can see several key pieces of information:

  1. There is one agreement in a For signing state that poses a financial risk.
  2. The agreement is currently with the supplier.
  3. In March 2024, there were active transactions.

We can also see the Lead for this trading program. We can now take this information and reach out directly to individual to get the agreement signed off, ensuring greater financial security for our business and for our trading partners.
